First Look - GimmalSoft Compliance Suite

GimmalSoft Compliance Suite (GCS) is a new product offering for Microsoft SharePoint 2010 that delivers US DoD 5015.2 compliance to SharePoint. You can find out more about the standard at this website. SharePoint has a comprehensive set of recordkeeping features, but these features are not sufficient to achieve compliance with the 5015.2 standard. GCS builds on top of SharePoint’s existing recordkeeping capabilities and utilizes SharePoint’s content management capabilities to deliver the capabilities needed to achieve certification.

GCS is new – as of the date of this report, it has not officially been released to market. RIMtech has been briefly introduced to the new software, but we have not yet had the opportunity for an in-depth product examination or any hands-on experience with the product. Therefore, this report is not a comprehensive feature-by-feature product analysis, but rather a brief high-level introduction only. Many organizations with SharePoint, who also practice formal recordkeeping need to know – How do we manage our records with SharePoint? Do we need GCS? Hence, this report will attempt to answer the following important questions:

1) For your recordkeeping requirements, are 5015.2 capabilities required, or will something less suffice?

2) What exactly do we get with GCS?

3) Can we manage records with just SharePoint 2010 by itself?

RIMtech believes GCS is a market game changer. Many organizations today are adopting SharePoint as an IT infrastructure platform, and many of them require formal recordkeeping. Some of them require 5015.2 compliance, and some have a lesser recordkeeping requirement. Until GCS, the only 5015.2 option was to use a second ECM certified repository such as LiveLink, integrated with SharePoint. This arrangement has many drawbacks. GCS however delivers a full 5015.2-compliant solution completely within SharePoint.

GimmalSoft appears to have done a good job of delivering the recordkeeping features required for 5015.2 compliance. They have leveraged most of SharePoint`s out of the box recordkeeping capabilities (as limited as they may be), and have used as many of the existing concepts and tools as possible, so that the user`s recordkeeping experience is well within the SharePoint end user experience.

RIMtech has not yet had any hands-on experience with GCS, nor have we solicited any customer feedback. We therefore cannot comment directly on the efficacy of the product. We can only say that it appears to be doing the right things in the right manner, which lead us to be optimistic that it will at least be a good product offering for electronic recordkeeping.
